How Whenest Works

Schedule meetings across time zones in seconds. Here is how to find the perfect time for your global team.

1. Add Your Cities

Start by adding the cities where your team members are located. Click "Add City" and search for any city. You can add up to 8 different locations. Your local timezone is automatically detected.

2. Set Working Hours

Each city has default working hours (9 AM - 6 PM). Click the settings icon to customize. Team members with unusual schedules? Set early bird (6 AM - 3 PM) or late shift (12 PM - 9 PM) hours.

3. Find the Best Time

Whenest automatically calculates the optimal meeting times. Green means working hours for everyone. Amber means early or late but acceptable. Red means night time - avoid unless necessary.

4. Pick a Date & Time

Select your preferred date and time from the suggestions, or manually pick any time. The visual timeline shows exactly what time it will be for each participant.

5. Share the Meeting

Generate a shareable link that automatically converts the meeting time to each recipient local timezone. Or export directly to Google Calendar, Outlook, or download an .ics file.

6. Save as Team (Optional)

Scheduling the same group often? Save your city configuration as a Team preset. Load it instantly next time with one click. Perfect for weekly standups with distributed teams.

  • 1.Start with the most constrained timezone. If someone is in a very different timezone (e.g., Australia vs USA), find their reasonable hours first.
  • 2.Consider rotating meeting times. If no perfect overlap exists, alternate between favoring different regions each week.
  • 3.Use early/late hours strategically. A 7 AM or 7 PM meeting is more acceptable than 2 AM.
