Frequently Asked Questions
Everything you need to know about using Whenest to schedule meetings across time zones.
What is Whenest?
Whenest is a free online time zone meeting planner that helps you schedule meetings across different time zones. Unlike simple time converters, Whenest shows you the best meeting times when everyone can attend during their working hours, visualizes time zone differences, and generates shareable links.
Is Whenest free to use?
Yes! Whenest is completely free. There are no hidden costs, no account required, and no premium features locked behind a paywall. All features including team presets, calendar exports, and sharing are available to everyone.
How many cities can I add?
You can add up to 8 cities/time zones to your meeting planner. This covers most global team scenarios. Each city can have custom working hours set independently.
How does the overlap finder work?
The overlap finder analyzes all added cities and their working hours (default 9 AM - 6 PM) to find times when everyone can meet during reasonable hours. It ranks suggestions based on how many participants would be in their working hours, early/late hours, or night time.
Can I customize working hours for each city?
Yes! Click the settings icon next to any city to customize working hours. You can set custom start and end times, or choose from presets like "Early bird (6:00-15:00)" or "Late shift (12:00-21:00)".
How do share links work?
When you click "Share", Whenest generates a unique URL containing your selected cities and meeting time. Anyone who opens this link will see the meeting time automatically converted to their local timezone.
Does Whenest account for Daylight Saving Time (DST)?
Yes! Whenest uses the IANA timezone database and handles DST automatically. We also show warnings when a DST change is approaching for any of your selected cities.
Can I save my frequently used city combinations?
Yes! Use the "Teams" feature to save any city configuration as a reusable preset. This is perfect for recurring team meetings. Teams are stored in your browser and available anytime.
How do I export a meeting to my calendar?
Click "Add to Calendar" to export to Google Calendar, Outlook, or download an .ics file that works with Apple Calendar, Thunderbird, and other calendar apps. The exported event includes times in all selected cities.
Is my data stored anywhere?
No data is sent to any server. All your cities, teams, and preferences are stored locally in your browser using localStorage. We do not track or store any personal information.
What cities/timezones are available?
Whenest includes 75+ major cities across all continents, covering all IANA timezone identifiers. Popular cities like New York, London, Tokyo, Sydney, and more are all available with quick search.
Does Whenest show public holidays?
Yes! Whenest displays public holidays for all added cities using the free Nager.Date API. When a holiday falls on your meeting day, you will see a badge indicating the holiday name.
